  • Overview

    The Role:

    You are a creatively minded, proactive problem solver with excellent organisational skills.  You will work in a busy department to support the Agency Producers as they work on a number of engagements at any given time.  You are able to identify potential issues and present solutions before they occur.  You are an effective liaison between the Producers and the Finance, Billing and Accounts Payable teams.



    • Work with Agency Producers to understand the workflow, production budgets and who will provide the services.
    • Set up jobs to record costs and fees and ensure timely billing of those in accordance with client contracts
    • Where new suppliers are identified, you are responsible for setting these up in the finance and operating system, ensuring the completeness and accuracy of supporting documentation
    • Liaising with the Agency Producers and Agency Account Teams to ensure purchase orders are received from the Agency on a timely basis and then issued to suppliers in accordance with approved production budgets or billed to Agency where internal pitch, award show fees etc.
    • Assisting Agency Producers with travel arrangement to ensure compliance with policy and client contracts and production budgets
    • Monitoring production costs, including supplier invoices and insurance premiums, to ensure any potential overages are identified and approved in accordance with client contracts and production budgets
    • Liaising with the Accounts Payable team to ensure timely payment to suppliers in accordance with PIBS and contracts
    • Liaising with Agency Producers and Agency WIP Managers to ensure jobs are set up so they can be tracked against each other and enable the timely and accurate reconciliation of final production costs, as well as other client reporting requirements (such as hours reconciliations)

    Agency Process

    • Job set ups – in the Town Production’s Maconomy system that enables them to be reconciled to the jobs in the Agency’s Maconomy system
    • New vendor set up
    • Job management and reporting – purchase orders, recording supplier invoices, job reconciliation and billing
    • On line travel bookings using BCD / Concur

    Budget Control/Financial Management

    • Understand brief and related production budget
    • Identify any scopes changes and identify any impact on budgets
    • Set up jobs in the Hogarth Maconomy system that can be tracked effectively to the jobs set up in the Agency system
    • Timely and accurate job reconciliations

    Teamwork and Time Management

    • Working as part of a team across multiple departments / disciplines
    • Remaining calm whilst working to deadlines

    Client Servicing

    • Working with Agency Producers to ensure efficiency of the production process and any client reporting requirements

    Key attributes and competencies we’re looking for include:

    • Experience of work in an Agency, Production company or similar, fast moving environment.
    • Strong interpersonal and relationship skills, with the ability to inspire confidence with key stakeholders
    • Motivated, positive and able to work at pace to respond to the constantly evolving requirements with an onsite client.
    • Demonstrated ability to multitask and work across multiple IT systems
    • A completer finisher who enjoys working at pace and having a broad, varied workload
    • High levels of personal resilience with a strong focus on delivering results
    • Naturally collaborative and a good team player
    • Strong financial acumen to manage relationships with external vendors and suppliers, including budgetary management to ensure costs are controlled and key timings and deliverables are met
    • Good IT skills, particular on Office products including Excel
    • Process driven, results and systems orientated
    • Experience of Maconomy, or other ERP system, and online travel booking systems
    • A desire to work in production and broaden production knowledge
    • Previous experience of working in finance would be desirable
